Thank you for your interest in our Long-Term Rental Program! We’re excited to offer you a hassle-free alternative to the frustrations of car shopping and ownership. Our program provides unmatched flexibility compared to traditional vehicle purchases or leases. Making it the perfect solution for any lifestyle, business, or budget.

 

The program operates on a renewable monthly contract, with an initial commitment of just two months. After the first two months, you have the freedom to continue renting for as long as you wish, with the option to exchange vehicles as needed. Unlike a lease, the vehicle’s registration will never be in your name, and there’s no hefty down payment or long-term commitment to a single vehicle. You’ll have access to a variety of vehicles and the ability to switch makes and models whenever it’s time for an exchange.

How It Works

  1. Select Vehicle

Fill out your preferred pickup date and vehicle selection for your long term rental needs.

2. Driver’s License Information

Complete your driver’s license information to review your driving record.

3. Payment Information

Complete your payment information to confirm your booking and hold your deposit equal to one month’s rent of your selected vehicle. This is charged after your driving record review has passed and your reservation is confirmed.

4. Secure Vehicle Insurance 

Midwestern Wheels Inc. (MWI) does not provide coverage for your rental. Renter must secure collision and liability coverage from a provider of your choosing and add MWI as an additional insured and provide a copy of this policy prior to picking up your vehicle. 

5.  Schedule Pickup

Once a policy document has been provided we will confirm a date of pickup for your vehicle and a representative will activate your rental and secure your first monthly payment for your rental.

Requirements to Enter Program

Choose your preferred vehicle and provide a pickup date and location for your long-term rental.

Enter your driver’s license details, including your license number, address, date of birth, and expiration date, to complete a Motor Vehicle Records (MVR) check. Next, you’ll be asked to take a photo of yourself for facial recognition to verify your identity. Once this step is completed, we can proceed with your long-term rental request.

We accept major credit cards (Visa, Mastercard, Discover, and American Express). Security Deposit is collected when reservation is confirmed. First month’s rent will be charged on date of activation and receiving your vehicle. 

Verify your insurance coverage with your carrier. Our vehicle must be added to your policy, with our company listed as the additional insured and loss payee.

The program requires a minimum rental commitment of two months. If you choose to return the vehicle before paying for a second month, a $50 cancellation fee will apply. 

Requirements for Insurance

To ensure proper coverage during your rental, it’s important that you and your insurance carrier understand the requirements for a long-term rental of a “non-owned” vehicle. Your commercial or personal insurance policy must provide coverage for liability and physical damage to the rental vehicle by adding it to your existing policy. Your commercial or business insurance policy must provide state of Wisconsin minimum coverage for livability (bodily injury: $25,000 per person, and $50,000 per accident; Property damage liability: $10,000 per accident and Uninsured motorist bodily injury: $25,000 per person and $50,000 per accident) and physical damage to the rental vehicle (collision damage up to the full value of the vehicle) by adding it to your existing policy.

As with your personal vehicle, you are responsible for any damage or liability exposure during your rental, regardless of fault. We recommend confirming these details with your insurance carrier before starting you rental. 

A certificate or binder of insurance (ID cards are NOT sufficient) listing the VIN of your rental vehicle and naming our company as the additional insured and loss payee. This certificate/binder must be updated with each vehicle exchanged to reflect the new VIN.

In the Event of Damage to the Vehicle:

We hope you never experience an accident or loss of any kind in one of our vehicles. However, in the event that you do, we will take care of the issue for you as efficiently as possible with your cooperation. Please note that you are NOT authorized to repair our vehicles without our expressed permission. 

We will need you to complete the following steps and return all information within 24 hours of the incident. Failure to provide all requested information regarding an accident and damage is a violation of our rental agreement. 

Please complete and submit the form to us within 24 hours of your incident.

Vehicle Experience Report

Please obtain insurance information from all parties involved. Please take note of the carrier(s), policy number(s), and phone number(s). Please obtain insurance carrier, provide us with a claim number, and insurance contact information (name, phone and fax number, and email address).

Please take photos of the scene and all damages (vehicle/or property). Obtain copies of the police report, tow company information, and any other related documents if applicable. 

When we have received your information as detailed above, the claim will be processed. You will be contacted by our claims department with an invoice for damages within 60 days. You should notify your carrier or other applicable carriers as soon as possible as most policies require advanced notice. Even if you submit a claim to your carrier, you are responsible for working with our claims department to address any unpaid balances and/or deductibles. 

Time & Mileage Policies:

All rates include 2,000 free miles/month. Additional miles are billed at $0.25/mile upon return of your rental.

Each vehicle in the program has a max driving limit of 18,000 miles during your subscription period. This limit is based on the miles driven by you, not the vehicle’s total odometer reading. When you approach the 18,000-miles threshold, we will proactively contact you to arrange a vehicle exchange. This exchange allows us to preform preventative maintenance and ensure the continued safety and reliability of our vehicles. Please allow adequate time for the exchange process to be completed smoothly.

Maintenance Policies:

Customers are responsible for keeping their vehicle maintained. When the vehicle calls for an oil change, you are responsible for taking the vehicle to a dealership or franchise vendor. Tires should also be rotated routinely to extend the life of the tires.

When either the service light or oil maintenance light comes on please contact our office to coordinate this repair at one of your preferred providers. Our office will also proactively reach out when the vehicle is within 500 miles of needed an oil change so you have adequate time to complete this maintenance.
